These Terms and Conditions are designed to give you a clear understanding of how we work together — what you can expect from us, and what we kindly ask of you. Please read through before making any booking.
1. Who We Are
Vietnam Experts is a specialist travel company offering international and domestic flights, hotel accommodations, curated land packages, airport transfers, and visa assistance. We work with a trusted network of airlines, hotels, and ground operators to bring you the best possible travel experience.

2. Our Services
We offer a full range of travel services to make your holiday planning effortless:
- Flights — domestic and international bookings through our airline partners.
- Hotels & Accommodation — handpicked options to suit every budget and travel style.
- Land Packages — complete tour packages including guided excursions, transfers, and sightseeing.
- Visa Assistance — guidance and documentation support for visa applications.
- Airport Transfers & Ground Transport — reliable, pre-arranged transport at your destination.
All services are subject to availability. We always do our best to deliver exactly what is confirmed in your booking.
3. Making a Booking
Booking with Vietnam Experts is simple and straightforward:
- Share your travel requirements with our team by phone or through our website.
- We will put together a personalised itinerary and quote for you.
- Once you are happy with the proposal, full payment is required to confirm the booking.
- Upon receipt of full payment, we will issue a Confirmation Invoice and send your travel details by email.
Please review all details on your Confirmation Invoice carefully — names, dates, destinations, and services — and let us know immediately if anything needs to be corrected.
By replying to your confirmation email or proceeding with payment, you confirm that you have read and accepted these Terms and Conditions on behalf of yourself and all travellers in your party.
4. Your Travel Documents
A helpful checklist of things to take care of before you travel:
- Ensure all passports are valid for at least 6 months beyond your return date and have sufficient blank pages for stamps.
- Check visa requirements for every country in your itinerary, including any transit stops. Requirements can change, so verify with the relevant embassy closer to your departure date.
- Carry copies of all travel documents — tickets, hotel vouchers, visas, and insurance — both in print and digitally.
- Reconfirm your flight times directly with the airline at least 24 hours before departure, as schedules occasionally change.
- Check health and vaccination requirements for your destination countries.
Ensuring all travel documents are in order is ultimately the traveller's own responsibility.
5. Travel Insurance
We strongly recommend that all travellers purchase comprehensive travel insurance before departure, covering trip cancellation, medical emergencies, hospitalisation, emergency repatriation, baggage loss, and personal liability.
Where Vietnam Experts facilitates the purchase of a travel insurance policy on your behalf, any claims arising under that policy must be made directly with the insurance provider. Our role is limited to purchase facilitation only, and we bear no responsibility in connection with any such claim.
6. Special Requests & Medical Needs
If you or any member of your party have special requirements — dietary needs, mobility assistance, room preferences, or medical conditions that may affect your travel — please let us know at the time of booking. We will do our best to communicate your needs to the relevant suppliers, though we cannot guarantee that all requests will be accommodated.
Booking Conditions & Legal Terms
The following sections set out the commercial and legal terms that apply to all bookings made with Vietnam Experts. These terms are binding on all clients.
7. Payments
- Full payment for all services is required before any booking is confirmed. No booking is held or guaranteed without receipt of full payment.
- Prices quoted are subject to change until full payment is received and a Confirmation Invoice is issued.
- Prices may be adjusted prior to Confirmation Invoice issuance due to changes in airline tariffs, hotel rates, government taxes, fuel surcharges, or currency fluctuations.
- All service fees and convenience charges levied by Vietnam Experts are non-refundable under any circumstance.
8. Cancellation Policy
- All confirmed bookings are strictly non-refundable. Cancellation for any reason will result in forfeiture of 100% of the amount paid.
- No refund, credit note, or transfer of funds will be issued in the event of cancellation.
- In exceptional circumstances, if Vietnam Experts at its sole discretion elects to process any refund, the mode and timeline will be determined entirely by Vietnam Experts. No particular refund method is guaranteed.
- Vietnam Experts accepts no liability for refunds or compensation arising from cancellations or changes made by airlines, hotels, or any third-party supplier.
9. Changes to Bookings
- Amendment requests are subject to availability and supplier policies. Any fees charged by the supplier will be passed on to the Client along with an administration fee.
- Inability to amend a confirmed booking does not entitle the Client to a refund.
- Changes to passenger names, dates, or destinations after confirmation may be treated as a full cancellation with 100% charges applying.
10. Flights
- Vietnam Experts acts as an agent of the airline. The contract of carriage is between the Client and the airline, governed by the airline's own terms and conditions.
- It is the Client's sole responsibility to reconfirm all flight timings and terminal details directly with the airline at least 24 hours before departure.
- Flight schedules, routing, and aircraft type are subject to change by the airline without notice. Vietnam Experts bears no responsibility for changes, delays, or cancellations.
- A 'direct' flight does not necessarily mean non-stop; it may include en-route stops.
- Departure taxes or airport charges not included in the ticket price must be paid by the Client locally and are non-refundable.
- If any sector of a flight itinerary is unused without prior airline notification, the carrier may cancel remaining sectors. Vietnam Experts accepts no responsibility for this.
11. Hotels & Land Packages
- Vietnam Experts acts as agent for accommodation and ground service providers. All service contracts are between the Client and the relevant supplier.
- Hotel descriptions, ratings, images, and amenity details are provided by suppliers and are for reference only. Vietnam Experts does not independently verify this information.
- Room allocation, bedding type, views, and check-in/out times are at the hotel's discretion. Early check-in or late checkout is not guaranteed.
- Land package itineraries are indicative and may be modified due to local conditions, weather, or operational requirements by the ground operator.
- Any excursion or activity not specifically included in the confirmed booking is not the responsibility of Vietnam Experts.
12. Visa Assistance
- Vietnam Experts provides visa assistance as a document facilitation service only — not immigration or legal advice — and carries no guarantee of visa approval.
- Vietnam Experts bears no responsibility for visa refusals, delays, or denial of entry by any government or immigration authority.
- Visa fees paid to any government authority are non-refundable regardless of outcome.
- The Client is solely responsible for meeting all entry, visa, and health requirements for every country in their itinerary, including transit countries.
13. Passports & Immigration
- All travellers must hold a valid passport with a minimum of 6 months' validity beyond the return date and sufficient blank pages for stamps.
- The Client must independently verify and comply with all immigration, customs, health, and documentation requirements for all countries visited, including transit points.
- Vietnam Experts accepts no liability if any traveller is denied boarding or entry into any country due to insufficient or invalid documentation.
- Any fines or penalties imposed on Vietnam Experts due to the Client's non-compliance will be recovered from the Client in full.
14. Liability
- Vietnam Experts acts as an agent for airlines, hotels, and ground operators and accepts no liability for their acts, omissions, or failures.
- Vietnam Experts shall not be liable for any loss, injury, delay, or inconvenience arising from: acts of third-party suppliers; Force Majeure Events; the Client's failure to comply with applicable laws or these Terms; or inaccurate information provided by the Client.
- To the maximum extent permitted by law, Vietnam Experts' total liability shall not exceed the service fee charged for the specific booking in question.
- Vietnam Experts shall not be liable for any indirect, consequential, or punitive losses under any circumstances.
15. Force Majeure
- Vietnam Experts shall not be liable for failure to perform obligations resulting from events beyond its reasonable control, including war, terrorism, civil unrest, natural disaster, epidemic, pandemic, government action, border closures, airline failure, or strikes.
- No refund, compensation, or alternative arrangement is owed by Vietnam Experts in such circumstances.
16. Client Conduct
- The Client accepts responsibility for the conduct of all members of their travel party throughout the journey. Vietnam Experts and its partners reserve the right to terminate services for any traveller whose behaviour endangers others, causes damage, or violates local laws — without refund.
- The Client is responsible for complying with all laws, customs, and regulations of countries visited.
17. Data & Privacy
- Personal information provided by the Client will be shared with relevant suppliers (airlines, hotels, visa authorities) as necessary to fulfil the booking. By proceeding, the Client consents to this use.
- Vietnam Experts does not sell or trade Client data to unconnected third parties.
18. Governing Law & Jurisdiction
- This Agreement is governed by the laws of India.
- All disputes shall be subject to the exclusive jurisdiction of the courts of New Delhi, India. By making a booking, the Client irrevocably submits to this jurisdiction.
19. Website & Intellectual Property
- All content on the Vietnam Experts website is proprietary. No content may be reproduced or redistributed without prior written consent.
- Vietnam Experts does not warrant the accuracy of website content. Pricing and availability are subject to change without notice.
